How we handle your data.

1. Who we are

The data controller is Emonk Media Ltd, a private company registered in England and Wales under company number 17407166. We are registered with the Information Commissioner’s Office (ICO), registration number ZC235072. Our registered office address is shown in the footer of every page on this site.

2. What we collect, and why

When you book a call

The “Book a call” buttons take you to Calendly, a third-party scheduling service, which collects your name, email address, the time you choose, and anything you type into the booking form. We use this to hold the call you asked for and to prepare for it.

Lawful basis: our legitimate interest in responding to enquiries from people who have asked to speak with us. If you become a client, we process it as necessary to perform our contract with you.

When you email us

If you email us, we hold your email address, your name if you give it, and the content of the message. We use it to reply and, if the conversation continues, to run the engagement. Our email is provided by Google Workspace.

Lawful basis: our legitimate interest in responding to you; performance of a contract where one exists.

When you visit the site

This site is hosted by Netlify. Netlify’s servers record standard technical information about each request, such as your IP address, browser type, the page requested and the time. This is used to serve the site and to protect it from abuse. We do not use it to identify you.

Cookies and analytics

This site does not currently use analytics, advertising pixels or any non-essential cookies. If that changes, we will ask for your consent before anything is set, and update this notice.

3. Who we share it with

We do not sell personal data and we do not share it for marketing. The following providers process data on our behalf, under contracts that require them to protect it:

• Calendly — scheduling. Receives your name, email address and anything you enter into the booking form.
• Netlify — website hosting and server logs.
• Google Workspace — email and documents.

We may also disclose data where the law requires it.

4. International transfers

Some of the providers above store data outside the UK, including in the United States. Where that happens, the transfer is covered by the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or the UK Extension to the EU–US Data Privacy Framework, as applicable to each provider.

5. How long we keep it

• Enquiries and bookings that don’t lead to an engagement: 12 months from our last contact, then deleted.
• Client records: for the life of the engagement and for six years afterwards, to meet our legal and accounting obligations.
• Server logs: held by Netlify for a limited period for security purposes, then discarded.

6. Your rights

Under UK GDPR you have the right to:

• ask for a copy of the personal data we hold about you;
• ask us to correct anything that is inaccurate;
• ask us to delete your data;
• ask us to restrict how we use it;
• object to processing based on legitimate interests;
• receive your data in a portable format;
• withdraw consent at any time, where consent is the basis we rely on.

7. Complaints

If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint, or by phone on 0303 123 1113.

8. Changes to this notice

We will update this page if what we collect or how we use it changes. The date at the top shows when it was last revised.
